Time Commitment: Full time
Education: Bachelor’s (Preferred)
Experience: 1 year administrative experience (Preferred)
Douglass Financial Services (DFS) is focused on providing clients with the advice and tools needed to reach their financial goals. You can talk easily with clients, both in person and on the phone, effectively communicating the action items clients are responsible for accomplishing as part of the planning process.
Summary of Job Responsibilities:
To effectively assist in responsibilities and activities related to the services and products Douglass Financial Services provides to its new and existing clients.
Essential Duties and Responsibilities:
Client Operations and Delivery
Prepares and delivers client account paperwork to Partners for electronic delivery review and signature as well as regular mail delivery (direct, variable annuities, alternative investment, brokerage, etc.)
Submits, monitors, and resolves all issues related to paperwork and service requests
Assists with client plan development and tracking reports
Attends client meetings as needed and assists with client follow-up and paperwork tracking
Other duties as assigned
Daily Office Support
Manages CLIC/CLIC Client data entry, account updates and client follow up (address changes/death notices/closed accounts, etc.)
Manages and organizes all client files (hard copy and CLIC)
Maintains check blotter
Professionally and courteously answers, trouble shoots, and problem solves incoming telephone calls, voice mails, e-mails and in person requests for assistance from the firm’s existing clients, prospects, registered representatives, recruits, staff, and other entities
Other duties as assigned
Essential Skills
Strong interpersonal and telephone communication skills
Ability to provide high level of authentic service and compassion to client relationships
Demonstrated proficiency in Office 365
Strong organizational skills and multi-tasking capabilities
Dedication to high quality work and significant attention to detail
Ability to work independently but also a strong collaborator in a team environment
Additional Skills Preferred but Not Required
Previous experience in CRM database management, MS Excel
Non-Essential Duties and Responsibilities:
Assists with miscellaneous projects
